What Sofia is (and is not)
Sofia is explainable rostering, an offline time clock, and a phone line that writes through the same rules. Cover is a waitlist. The public number is boarding.
Sofia Workforce is rostering software for hourly teams — hospitality, retail, venues that live on a week of shifts. It is built to show its work.
This page is the honest scope. If a competitor markets it and we do not ship it, it is listed under [what Sofia does not do](#what-sofia-does-not-do).
What you get
- A week you publish. Schedule is the roster. You add shifts, Auto-Fill proposes people, you publish. Every Auto-Fill pick shows its score, the factors, and the alternatives. It is a deterministic scorer, not a language model. Identical inputs produce an identical proposal. Undo Auto-Fill reverses the whole run.
- A time clock that holds a punch. Clock-in writes on the device first. Sync is a later step. Forgotten clock-outs are capped. See Clock in and out.
- Worker self-service. Staff open My shifts to see their week, pick up open shifts, offer a swap, and request time off.
- Fair-workweek as a guardrail. Jurisdiction presets, an advance-notice check at publish, and premiums recorded on an append-only ledger. Estimates, not legal advice. See Fair-workweek.
- Call Sofia. Staff call one store number for late, sick, or a named swap. She uses the same eligibility rules as Auto-Fill, then writes the roster. The public number is boarding. See What happens when someone calls Sofia.
- Ask Sofia. A read-only assistant over the current week. It does not write shifts. See Ask Sofia.
Pricing is $200 USD per store per month, unlimited staff. Cancel in one click. See Locations and billing.
Cover is a waitlist
Managers can list an open gap on Cover after Auto-Fill and staff claims have tried the venue's own people. Listing records demand. Nobody is sent. There is no extra-hands pool. Do not plan a Saturday as if Cover will dispatch someone.
What Sofia does not do
These are product facts, not a backlog dressed as features:
| Claim you might expect | What ships |
|---|---|
| On-demand extra hands | Cover waitlist. Nobody is sent. |
| A public store number you can call today | Conversation engine is in the product. The PSTN line is boarding. |
| Payroll / POS integrations | Payroll leaves as CSV. Projected sales are typed in by a manager. |
| Native iOS / Android apps | Mobile-first web. Optional web push. |
| In-app chat | Notifications about the roster. Not a messenger. |
| Award interpretation / Xero / MYOB | Not calculated, not pushed. |
| SSO | Role-based access in the database. SSO is a Scale conversation. |
Auto-Fill proposes. You publish. Call Sofia writes only through those same rules, for in-policy late / call-off / swap.
Who this handbook is for
Articles are tagged Staff, Managers, or Admins. Owner is a role in the database; it is not something an admin assigns. If you are setting the venue up, start at Sign up and create a workspace. If you work shifts, start at My shifts.
The product pages sell the why. These pages teach the buttons.
